# Workflow Assessment Checklist
APPNEURAL · Updated 9 September 2026

Use this with the person responsible for the workflow. Do not include credentials or private customer data in an initial enquiry.

- Name the recurring task, trigger and expected output.
- Identify the business owner, operators and reviewers.
- Record current systems, versions, API documentation and vendor permissions.
- List handoffs, repeated entry, missing records and exception cases.
- Measure the current effort, frequency, rework and waiting time over a representative period.
- Define the desired change without assuming an improvement percentage.
- Identify permitted data, retention, processing locations and access boundaries.
- Decide which actions require approval and how failures are escalated.
- Choose one workflow for evaluation; list what is excluded.
- Agree acceptance criteria, sample cases, dependencies and responsible owners.

## Compare the options
Consider removing an unnecessary step, configuring an existing system, adding a rules-based integration, or building a custom workflow. AI is a candidate only where interpretation is needed and its errors can be reviewed. Choose a manageable first workflow with clear ownership and reversible changes.

## Worked decision aid
For a daily report, record who exports each file, checks totals and distributes the result. If totals disagree, stop distribution and assign reconciliation to an owner. Compare a scheduled export with a custom integration before considering AI. The decision is based on access, repeatability and risk; this example does not establish savings or a validated ROI score.
